Privacy Policy

Effective / last updated: 21 September 2026.

This policy describes how vimai.jp (the "Website") handles information when you browse the ViMai ecosystem hub, send a contact message, submit optional feedback, or when staff sign in to the CMS. ViMai does not invent unconfirmed legal details. Translations help readers; they do not create a separate contract.

1. Operator

The Website is operated by the independent software project ViMai. Contact address: Ninh Binh, Vietnam. Support email: [email protected]. Please use that email for all requests.

2. Data we collect

Information you submit: name, email, subject and message on the Contact form; display name, message, optional rating and optional country on community feedback. Technical minimums: IP address, user agent and timestamps may be used to rate-limit forms and reduce spam. Admin data: login email and an HttpOnly session cookie for authorised CMS users. This public website does not collect payment card numbers. Do not send medical details, identity documents or children's data in public forms. Product apps such as Maimai or ViMai Kids are described here; this hub does not collect their in-app health or learning records unless you type them into a form.

3. Purposes

We use data to answer product, press or partnership questions; to operate, secure and debug the Website and CMS; to moderate feedback before publication (email is never published); and to keep limited security logs. We may improve public copy from repeated questions. We do not build advertising profiles from contact forms unless a future ad network is disclosed on this page.

4. Legal basis

For users in Japan, processing follows the Act on the Protection of Personal Information (APPI) where it applies. Bases include responding to your request, legitimate operation and security, and consent when you submit feedback for review. We do not use form data for automated legal decisions about you.

5. Sharing

ViMai does not sell personal data. Processors needed to run the Website currently include Cloudflare (network, DNS, Pages, D1, and media storage if enabled). CMS access is limited to authorised staff. We may disclose information if Vietnamese law requires it. Approved feedback shows only the display name and text you submitted.

6. Cookies and analytics

The admin session cookie (vimai_session) is HttpOnly and is not an advertising cookie. If Cloudflare Web Analytics is enabled, it is privacy-oriented and does not use ad cookies. Dashboard figures may be approximate.

7. Advertising (including Google AdSense)

If Google AdSense or a similar network is placed on the Website, Google and partners may use cookies or identifiers to serve, measure and protect ads under Google's policies. ViMai does not sell email lists to advertisers. You can adjust Google ad settings and browser controls. Ads are not ViMai editorial content. We do not use children's data or health-app data from our products to target ads.

8. Retention

Contact and feedback records stay in the CMS until handled or until a reasonable deletion request. Anti-abuse logs are kept only as long as needed. Admin accounts last while staff need access. Backups, if any, expire on the provider's cycle.

9. Security

The public site runs on Cloudflare. Admin sessions use a secure cookie and hashed passwords; plaintext passwords are not stored in source. No system is risk-free. If a breach affecting contact data is confirmed, we will notify as applicable law requires.

10. Children

vimai.jp is written for adults evaluating products. ViMai Kids is a children's learning product, but this hub does not ask children to create accounts. Do not submit a child's data in contact forms. A parent or guardian must supervise use of children's products. If we receive a child's data by mistake, we will delete it when identified.

11. International processing

Cloudflare may process data in more than one region. Sending a form from Vietnam, Japan or elsewhere may involve processing outside your country, within the provider's and applicable law's limits.

12. Your rights

Depending on APPI and the law of your residence, you may ask what contact data we hold, and request correction, deletion or restriction where a basis exists. Email us from the address you used, and state the request. We may take reasonable steps to verify identity. Rights can be limited where law requires records or where others' rights are affected.

13. Privacy contact

Email: [email protected]. Contact address: Ninh Binh, Vietnam. We reply within a reasonable time after we have enough information to identify the request.

14. Changes

If processing changes (for example ads, payments, or a confirmed legal entity), we update this page and the effective date. Continued use after publication means you have had the chance to read the new version. The public website is the current text.
